Invoism emails customers about unpaid invoices on a schedule you choose, and you can send a reminder yourself from the invoice or from Overdue invoices.
Step 1
Make sure the customer can receive the email
The customer email is saved as the primary contact with invoices and payment reminders turned on. Open the customer and, on any other contact who should also get reminders, turn on Receive payment reminders. A reminder needs that contact’s email. Draft invoices, paid invoices, cancelled invoices, and invoices with no due date or no balance due are not reminded.
Step 2
Choose the automatic schedule
Open Settings, then Payment reminders. Leave Automatic reminders on. The schedule is 3 days before due, due today, then 3, 7, 14, and 30 days overdue. Uncheck any milestone you do not want. Each checked milestone sends once. After the 30-day reminder, automatic emails stop. Turning automatic reminders off keeps the schedule and still allows a reminder you send yourself.
Step 3
Set when automatic emails may go out
On the same page, Limit automatic reminders to business hours is on by default. The usual window is 09:00 through 17:59 in your organization timezone, often Asia/Kolkata. The end time is not included. If the start and end are the same hour, nothing automatic goes out. A reminder you send yourself goes out immediately, including outside those hours. Save settings.
Step 4
Watch unpaid invoices
In the sidebar, open Overdue invoices. The list shows invoices past their due date, when each was last reminded, and the next automatic reminder. Schedule complete means the last checked milestone has already been sent. Reminder settings on this page opens the same schedule.
Step 5
Send a reminder yourself
On an unpaid invoice that is not a draft, open the invoice and click Send reminder. Confirm the dialog. Invoism emails the contacts who receive payment reminders and attaches the invoice PDF. You can also send from a row on Overdue invoices if you have permission to send invoices. That send does not cancel or replace the next automatic milestone. Paid and cancelled invoices get no further automatic reminders.
Common questions
Who receives a payment reminder?
Contacts on the customer with Receive payment reminders turned on and an email address. The customer’s own email is the primary contact and starts with reminders on. Extra contacts stay off until you turn them on.
Does a reminder I send skip the automatic one?
No. A reminder you send from the invoice or from Overdue invoices goes out immediately and leaves the next automatic milestone in place.
When do automatic reminders stop?
Each checked milestone sends once. After the final one, 30 days overdue, automatic emails stop. They also stop when the invoice is paid or cancelled, and they do not send while automatic reminders are turned off.
Expected outcomes
- Automatic reminders follow the milestones you leave checked
- A reminder you send includes the invoice PDF and does not skip the next automatic one
