Customer Tags: Purpose, Use, and Groups

A tag is a label you can put on many customers, and one customer can hold many tags. Use tags to filter lists. Use a customer group when the customer should start with shared payment terms, a discount, or a credit limit.

Step 1

Use a tag when one group is not enough

A customer group answers “what commercial terms does this customer start with?” Each customer has one group. That group can set default payment terms, a default discount, and a default credit limit. A tag answers “which lists should include this customer?” The same electrical contractor can be in BNI, Rotary, and a city chapter. Those memberships overlap, and none of them should change the price or the due date. Put those names on as tags.

Step 2

Create a tag

Open Customers and click New customer, or edit a customer. In the Tags field, type a short name such as BNI and create it. Typing the same name again, in any case, reuses the existing tag. You can also open the tag filter on Customers and choose Manage tags. That page lists every tag, how many customers use it, and lets you rename it, set a color, or delete it. A new tag gets a color automatically.

Step 3

Assign several tags to one customer

On New customer or Edit customer, add each tag in the Tags field next to Customer group. Save the customer. The tags appear on the customer page and in the Customers list. One customer can hold up to 20 tags. An organization can hold up to 200 distinct tags. Removing a chip takes that tag off this customer only. The tag stays available for everyone else.

Step 4

Filter by any of the selected tags

On Customers, choose one or more tags and click Search. A customer is included when they have any of the selected tags. Status, search text, and customer group still apply together with that tag choice. The same tag filter is on Invoices, Quotations, Payments, Overdue invoices, Analytics, and the organization home figures. Those screens include documents whose customer has any selected tag today. Tags are not copied onto the invoice, so renaming a customer’s tags changes which past invoices match the filter.

Step 5

Keep the customer group for terms

Leave Customer group for one label that should change how you bill that customer: Wholesale with 30-day terms and a trade discount, or Retail with no discount. Assigning BNI does not change the group, the discount, the payment terms, or the credit limit. Deleting a tag removes it from its customers and leaves the customers in place. Deleting a group clears the group on its customers and leaves the customers in place. Use both on the same customer when you need a price list and a membership list.

Common questions

What is a customer tag for?

A tag marks a customer for filtering. Use it for overlapping lists such as a business network, a referral source, or a campaign. It does not set a discount, payment terms, or credit limit.

How is a tag different from a customer group?

A customer has one group and can have many tags. The group can store default payment terms, a default discount, and a default credit limit for new quotations and invoices. Tags only control which customers appear when you filter.

What happens when I select two tags in a filter?

The list includes customers who have either tag. A customer tagged only BNI still appears when the filter is BNI and Rotary. To also limit the list to one commercial segment, choose a customer group in the same search.

Does deleting a tag delete the customers?

No. Delete on the Tags page removes that label from every customer who had it. The customer records stay. Rename on that page updates the label everywhere it is shown.

Expected outcomes

  • A customer can carry several tags at once
  • Customer, invoice, quotation, payment, and analytics lists can be limited to tagged customers
  • Customer group still holds the single set of default commercial terms
